How do I see mail my Registered Agent received?
If FormationHub is your Registered Agent, all mail we receive for your business is scanned and uploaded to your portal within 1 business day of arrival.
Where to find your mail
Sign in at https://www.formationhub.com/member
Click the business name in the top-left dropdown if you have multiple businesses
Click Mailbox in the left sidebar (or visit
/member/dashboard/[business]/mailbox)
Each piece of mail shows: - Date received - Sender (parsed automatically when possible) - Category (we auto-classify: court, state filing, IRS, marketing, etc.) - Preview thumbnail of the first page - Download link for the full PDF
You'll get an email notification every time new mail arrives — typically by the end of the next business day.
How fast is scanning?
Mail arrives at our office Monday-Friday
We scan and upload within 1 business day (typically same-day for high-priority categories)
"High priority" = anything from a court, state revenue department, or IRS
If you need physical originals (rare — almost everything can be handled with the scan): - Request original forwarding via the portal: $5 + USPS postage per piece - Or come pick up: schedule via portal, M-F by appointment only
What about marketing mail?
We don't forward marketing mail (Vistaprint flyers, "we noticed your business is in our area!" letters, etc.). We:
Auto-classify it as "marketing"
Save the scan to your portal for 90 days (in case we misclassified something important)
Shred the physical copy
If you want to see all marketing mail too, toggle the setting in your portal: Mailbox → Settings → Show marketing mail.
What we do with legal mail
If a process server arrives with a lawsuit or court summons: 1. Our office staff accepts service and signs for it on your behalf (that's the RA's legal job). 2. We scan and upload within 4 business hours (these are time-critical). 3. We email you AND text you (if you've enabled SMS notifications) with a high-priority alert. 4. The physical original is held in our secure intake area for 90 days, then forwarded to you at no charge.
If the process server arrives outside business hours, they typically leave a notice or come back the next day. We've trained reception to handle this even if our regular intake staff is unavailable.
What if I missed an important piece of mail?
Open a chat or email [email protected] immediately:
We can look up our intake log to see if anything arrived for you
If something was missed (rare — under 1% of intakes), we'll apologize, refund the year, and personally forward the original within 24 hours
Most of the time when customers think they missed mail, the issue is: - Email notifications going to spam (whitelist [email protected]) - Multiple businesses under the same account and they're checking the wrong one's mailbox - Marketing-mail filter hiding it (toggle the setting above)
Sharing access with your accountant or lawyer
We don't yet have a shared-access feature. For now: - Download the PDF from your portal and forward via email, OR - Give your accountant your portal login (use a unique password for this account)
We're building a "share specific document with a third party" feature; expected ~Q3 2026.
Privacy and security
All mail scans are encrypted at rest in our cloud storage
Only you (the customer-account holder) and authorized internal FormationHub staff can access scans
We never sell or share customer mail data with third parties
Mail-classification ML runs on-device and doesn't expose individual mail contents to external services
Common questions
"Can I get notifications via SMS or WhatsApp?"
SMS yes — enable in Account Settings → Notifications. WhatsApp: not yet, on roadmap.
"What if I don't open mail for a while — does anything get destroyed?"
Marketing mail: 90 days, then shredded. All other mail: held indefinitely in the portal as scans. Physical originals: held 90 days for legal mail, 30 days for state/IRS, then shredded unless you've requested forwarding.
"Can I have mail forwarded automatically without scanning?"
Yes — toggle Mailbox → Settings → Auto-forward physical originals. Cost: $5/piece + postage. Most customers prefer scans for speed and searchability.
"What about FedEx, UPS, certified mail?"
We accept them all. Certified mail tracking shows up in your portal too.
